Objective: The Accounting Specialist is responsible for the day to day bookkeeping duties and accounting procedures of all company units, which includes 4 corporations, as directed by the Director of Administration. Duties will include, Accounts Receivable, Accounts Payable, Inventory, Billing, and other Miscellaneous Administrative duties.

Key Duties and Responsibilities:

Billing and Accounts Receivable

  • Make certain that all recurring monthly billing is accurate and billed by the 25th of each month.
  • Make certain that all add-on billing for projects are accurate and billed weekly.
  • Make certain that all consumables billing is accurate and completed twice monthly are to customer specifications.
  • Track Accounts Receivable weekly and follow collections protocol according to company standards.
  • Hold weekly collections meetings with Managers and get assistance with client collections as needed.
  • Calculate monthly the average day of collections to no more than 25 days.
  • Help create procedures with all teams which promote accuracy and timeliness of all Billing and A/R.

Accounts Payables

  • Make certain all accounts payable functions, as directed by Director of Administration, are completed in a timely manner.
  • Match incoming invoices with purchase orders, packing slips, and post accordingly.
  • Prepare checks for weekly signing of accounts payables which are due.
  • Make certain all vendor relationships are managed properly.

Freedom to Act/Accountability

The Accounting Specialist is accountable for ensuring excellent accounting/bookkeeping, customer service, and a positive team-oriented working environment. Following Company approved protocols the Accounting Specialist has the authority to process all assigned work orders, billing and accounting documents. Following approved protocols the Accounting Specialist has the authority to support each business unit and provide outstanding service. The Accounting Specialist cannot without authorization from leadership, write checks, sign contracts, or deviate from company policies or standard operating procedures. Your job duties allow you access to privileged information and it is expected that this information will be kept in strict confidence.

 

Position Requirements

Knowledge & Experience: 2 years Accounting Specialist experience in the service industry.

Skills: Working knowledge of basic office equipment. Must have some working knowledge with QuickBooks, and familiar with windows and office software. Must be able to create written communication without major editing. Must possess excellent written, verbal, and people skills. Must be able to learn and utilize our proprietary software.

Physical effort

Sitting: 85%

Standing/walking: 10%

Bending/Stopping: 5%
